APPLICATION RULES

Applications will open on 19 February 2018 at 21:00 UTC and will close on 4 March 2018 at 23:59 UTC.

At this stage, a maximum of 2 (two) members per each EUROAVIA Affiliated Society (AS) or Prospected Affiliated Society (PAS) will be accepted. Any applicants in excess of these numbers will be placed on a waiting list. This rule does not apply to members of the EUROAVIA International Board (IB), who are assigned a priority status. The waiting list is ordered on a first-come, first-served basis. The maximum number of participants is 30 (thirty). Only one application per person is permitted.

At the end of the first stage, the remaining available places will be filled up following the waiting list in chronological order, taking one member each AS

N.B. If you are a member of EUROAVIA Pisa you are allowed to apply using the same application form. You will have, indeed, the opportunity to join the SpaceUp Pisa at a special discount price. Beware that these special tickets are LIMITED.

After the end of the first stage of the application period, a list containing all the confirmed participants will be published. The 5 March at 00:00 UTC the second stage of application period will open.

If at the end of the first stage there are still places available, vacant places will be filled from the waiting list according to the following criteria:

  • Until 4 members in total of each AS will be accepted.
  • AS Local Boards can send a preference list of its applicants which will be applied among them.
  • The only other preference criteria is the cronological order of application.

Applicants selected from the waiting list will be contacted via e-mail by the Organizing Committee and asked to confirm their intent to participate in the event. These applicants will be confirmed participants only after the Organizing Committee has received a written confirmation from them. If the Organizing Committee does not receive a response within 3 days of initial contact, it reserves the right to select the next eligible candidate.

The 18 March 2018 at 23:59 UTC the second period of application will close and further apllications reserved to EUROAVIA members will not be accepted. At this point a list of confirmed participants will be published.

APPLICATION FEES

Every participant has to pay a participation fee of 70,00 €. Please, if you want to give up inform us as soon as possible so the waiting list can flow quickly. The payment deadline is the 1st April for participants confirmed at the first and second stage of application process. If the payment do not occur before the deadline, the application is considered cancelled.

 

Unfortunately, due to the different nature of the event, since SpaceUps involve a higher number of participants than standard EUROAVIA’s events, we cannot provide dinners (and also the final dinner) to all the EUROAVIAns, but there will be the Spirits Night, open to all EUROAVIA Members.

For EUROAVIA Pisa’s members the special discount tickets are sold for 25€. Remember that the availability is limited.

Application fees should be paid by bank transfer to EUROAVIA Pisa’s bank account. Detailed payment instructions will be sent to you via email once you are confirmed as a participant.

CANCELLATION POLICY

Cancellations must be made by contacting the Organizing Committee via e-mail at pisa@euroavia.eu. The following cancellation policy applies:

  • Cancellations made before 18th March 2018 are free of charge.
  • Cancellations made after 18th March 2018 are subject to a cancellation fee equal to 50% of the participation fee.
  • Cancellations made after 25th March 2018 are subject to a cancellation fee equal to 75% of the participation fee.
  • Cancellations made after 1st April 2018 are subject to a cancellation fee equal to 100% of the participation fee.

This amount must be paid by the participant after cancellation in the period of one week. If the participant doesn’t pay, their AS/PAS/AM/PAM will asume the payment.

We would like to ask you to avoid last minute cancellations as much as possible. In case you are unable to attend the event, we encourage you to inform the Organizing Committee as soon as possible and to find a substitute to take your place.

N.B. For EUROAVIA Pisa’s members these cancellation rules do not apply. The ultimate term to pay the application fee is the 1st of April
